Terms & Conditions
To make a reservation, complete and return the booking form, together with an online payment for the deposit for the tour you are interested in. Mongolica will then send you written confirmation and a receipt. It will be in your own interest to book early to avoid disappointment as we can only accept reservations in order of receipt. Your booking is always welcome up to the last minute. Please contact our office for details of the tour and bookings.
The balance of all bookings should be paid 90 days before the holiday. You will send us an invoice showing monies paid and the balance due for the holiday you have chosen. If the balance is not paid, then your booking will be deemed to have been cancelled. Payment should be by online made to Mongolica or bank transfer. If you pay by online, bank charge (%? of total amount) will be paid by you. Please note that we do not accept part payment of deposits or balances. After receipt of balance, we will send you our written confirmation of all monies paid, along with advisory notes, names of other group members, and bird check list for the tour you have chosen. We accept payment in US Dollars, Euros, and Pounds Sterling. But we prefer your payment in US Dollars. Please remember whichever currency you use to make the first deposit payment must be used for all further payments.
Any cancellation must be in writing and signed by whoever signed the booking form. It will take effect on the day we receive it. In the event of you cancelling your booking the following scale of charges will apply.

Therefore, travel insurance is essential. If it becomes necessary that we have to cancel a sudden tour, whether it be through insufficient reservations, illness, country’s situation like earthquake, nationwide holiday stops etc… then all deposits will be refunded. But remaining amount of the payment is not possible to be refunded.
All clients must take out comprehensive travel insurance before commencement of a tour. This is our policy. This insurance should at least cover accident, evacuation, medical, repatriation, and loss of effects. It should be noted that as the majority of our tours are in countryside with different field conditions, passenger liability insurance covering the vehicles we hire, may be inadequate. Therefore, it is important that your insurance cover makes sufficient provision in the event of an accident. We would like to advise you that the insurance cover begins from the booking of the tour. So the insurance should cover any cancellation charges due to illness, other serious situations from your sides etc. prior to the tour.
Passports and Visa Requirements
It should be your responsibility to ensure that you have a valid passport and where necessary a visa. Your passport should be valid for at least six months after the duration of your holiday. We will not accept any responsibilities for these regulations.
Health and Vaccinations
Health certificates and other issues in accordance with your country regulations for travelers, it will be your sole responsibility to seek the most up to date information from your private doctor or health center. All costs arising out of failure to comply must be met at your own expense. Mongolica will always carry a first aid / medical kit appropriate for the tour. However, it cannot be emphasized enough that if you do have a health problem, or physical limitation. You would inform us prior our departure, so we can be prepared in the case of an emergency.
Bookings are accepted only on the understanding that should no room-mate be available, you will accept single accommodation and pay the appropriate single room supplement. Please remember that smoking is not allowed in the room if you are sharing with a non-smoker. Please note that there is no a guarantee that single accommodation will always be available for those requesting it particularly in ger camps in the field. Bookings are only accepted on the understanding that the client agrees to share a room or ger in case unexpected lack of single accommodation at any location.
Restrictions and other important details
Mongolica Co. Ltd aim to take small groups on tours that do not normally entail too much strenuous activity. But it depends on the tour you have chosen. Some itineraries will be possible a bit strenuous activities in few days. If the tour is like that, it will be made a clear in the tour’s itinerary. Some destinations will require early morning starts and possibly late returns. Please understand it will maximize our opportunities to find and see certain species, and as regular wildlife watchers understand these are by far the most productive times of day. It will require your capability for moderate walking over a variety of terrain. Of course, there will be the opportunity for those who wish to do their own thing at their own expense. You are free to do this, but Mongolica will not be responsible for anything of your own itinerary in the country. However, your departure from the itinerary, it can only be done if the itinerary and the leader allow. Any antisocial behavior (swearing, smoking etc.) must be unacceptable for our tours. If after complaints from other tour members and Mongolica team, the tour leader finds any person still unable to conduct him or herself in a manner seen fit, then they reserve the right as tour leader to send them home. Any person of a tour dismissed will have no cause for complaint or refund, and shall bear all the extra costs of their return home. If you have any health problems or restrictions, please contact us beforehand. We can advise your participation in a tour that you have interested in. Our customers agree for their names to be published in our tour report, should it be written and published on our website. If not, please give us a note in writing within three weeks ahead of your tour starts.
Bird and wildlife watching and photographing are best enjoyed in a small group, and we aim to offer the best leader per group ratio around. It allows for more personal attention and better opportunities for all group members to see and enjoy the bird and wildlife. Regarding your enjoyment of birds and wildlife we will restrict clients to a maximum of between 6-8 participants per a tour, with a minimum of 4 for each tour to go ahead. If there are less than 4 for a tour, the tour may have to be cancelled. If the clients wish to go ahead, then we will add a minimum surcharge onto the cost of the tour for it to operate. However, special tours such as family and couple tours of the Mongolica will be regulated by different charges with different condition of the tour.
Due to changing circumstances such as weather conditions, transport, political situations, bird migrations, Mongolica will reserve the right to change any particular itinerary. If an itinerary has to be changed by the Mongolica or tour leader while you are on the holiday, then you must respect their professional decision.
Mongolica team calculates the price of each tour in detail and well-advanced. Unexpected cost increases can sometimes occur without Mongolica’s involvement. We reserve the right to increase the price of your tour subject to increases in the following items: governmental action, fuel price increase, over-flying charges, and airport and transport charges. Even in this case, we will absorb an amount equivalent to 2.5% of your tour price, which excludes insurance premiums, and any amendment charges. Only amounts in excess of 2.5% will be surcharged.
We have taken all reasonable steps to ensure that your tour has been properly arranged in accordance with showed in the website. Vehicle hire, hotel, tourist ger camps, and restaurants are all reputable. We will accept liability as a direct result of negligence or breach of contractual duty in making arrangements for you. We will not accept liability for claims arising out of carriage by air. We will also not accept liability for matters such as losses or additional expenses incurred as a result of transport delays, sickness, weather, strikes, war or other political crises, or other events which amount to force majeure.
We will not accept liability if any deficiency, personal injury, or death does not result from any fault on our part or on the part of our suppliers but is caused by your own acts and/or omissions, by the acts or omissions of a third party or by circumstances which neither we nor our suppliers could have anticipated or avoided even exercising due care.
In the unlikely event that you have a cause to complain you should notify at least one of your leaders as soon as possible in order that we may assist you. If you are not satisfied thereafter, please contact us in writing, stating the nature of the complaint within 10 days of the completion of the tour.
When you sign the booking form you are entering into a contract made with Mongolica (company registration number 6383052 in Mongolia address: 11th floor, Astra building, Sukhbaatar-8, Ulaanbaatar, Mongolia). This means that you agree to accept all the conditions of the booking. Our confirmation of your booking means that we agree to operate on your chosen tour as stated on our website, http://www.mongolica.org. The contract is governed by Mongolian laws.
Your holiday with Mongolica travel will be covered by the regulations and security of a contract between Trade and Development Bank of Mongolia and Mongolica Co.Ltd.
